Meeting Minutes

The meeting was called to order at 1:00pm by Chairman Denny Hare. Denny welcomed everyone and noted that there has been a lot happening and that we’d like to share and get input too.

Approval of Agenda

The members were asked if there were any additions or deletions to this agenda - Addition – discuss increasing membership.

A motion was made by Sandra Little to accept the amended Agenda. Rob Tait seconded the motion.

Treasury Report

Sandra Little gave an explanation for the items currently outlined in the Financial statement as of June 14, 2022.

Joyce Hopkins asked about the propane rate charged to us by Parry Sound Fuels at $0.9128 per litre versus that currently being charged to the MLCA members from Superior. Julie Hare will share a copy of a response to the MLCA about their current rate of $0.625 per litre. Sandra will contact Parry Sound Fuels regarding this updated information and ask for a possible reduction in charges.

A motion was by Rob Tait to accept the Treasurer’s report. John Peterson seconded the motion.

Rob Tait has submitted a total of $260.70 for the recent bottle drive. Rob explained that there are still bottles to be counted and returned to the LCBO for cash. It was suggested we have another bottle drive on a long weekend.

Membership

Since March we have had 36 members join the Club.

Sim Bracken asked if we could have a membership drive. Possibly use Facebook and emails as a means of contacting the people. It was also suggested that we put a large sign up on the tables at the entrance for the Pancake Breakfast and at Yard Sales inviting those people attending to join the club.

It was also suggested that we need to share some of the history of the Hall for people who are attending the various functions and that we can display framed pictures in the Hall of former students of the school and members of the clubs. It was also suggested we could include write ups from these people explaining their history of the hall and the various activities which have and are occurring there today. Liz Hugli said that she would share a binder of pictures and write ups with Sandra Little.

These are the people who work behind the scenes for you to make sure that any and all activities which take place at the Hurdville Hall go smoothly. Hall Business

Fundraising tools that we currently use are: Pancake Breakfasts, Yard Sales, Musical Concerts, Beer Bottle Drives and Donations.

We are currently awaiting a Health Department Inspection of the Hall before we can get our permits to continue to host our Pancake Breakfasts. This inspection is scheduled for June 20, 2022.

Rob Tait suggested that we use social media to post information about our plans to do some major fundraising. He suggested that we could ask our families, friends and neighbours for donations or that they match his donation as he has done with Mildred Tait who donated $100 to match Rob’s $100. He suggested we consider starting a GoFundMe account to cover costs of drilling a well.

Mark Little suggested that we need to consider funding for the refurbishment of the exterior of the building right away – replacement of boards, painting, etc. He noted that five years ago when the exterior was painted there were a lot of “bad” boards on the walls at that time which really needed to be replaced but were just painted over until future consideration. He noted that the future is now.

It was agreed that we would have another Beer Bottle Drive on Labour Day Weekend, September 4, 2022.

Plaques - There are plaques for In Memoriam to recognize those members we have lost. There are plaques for Recognition of Donations from various donors both financial and in support of fundraising functions. It is an honour to recognize and thank Greg Antuchiewicz for the financial donations he has made to the Hurdville Community Hall as a result of his Annual Golf Tournament. A plaque with his name has been placed in the frame. It is an honour to recognize and thank the members of the Harbour Band who donate their skills as the main event at many of our musical fundraising events. A plaque with their name on it has been placed in the frame.

Yard Sale Joyce Hopkins suggested we have a yard sale at the July 2nd Pancake Breakfast – Sandra Little will be the coordinator for this event. Dates for future yard sales will be determined at a later date.

Euchre Friday Night Euchre has begun and some of the attendees are requesting that we change the starting time from 7:30pm to 7:00pm. It was suggested that a YES/NO POLL SHEET be put on the desk at the front of the hall on Friday nights for a couple of card nights asking if the players want the time changed. If this majority says yes then a change could be implemented.

New Business Sandra Little has submitted a Grant Application to McKellar Township for $5000.00 for monies to refurbish the walls and ceiling of the Hall vestibule. We are currently awaiting word from the township as to whether we have been approved. Sandra will also contact McDougall Township to see if there is any grant money available to the Hall.

Jim Sutton suggested we investigate the Trillium Foundation or OTF.ca for grant money. He will forward the details regarding the Trillium grants to Sandra Little. Hall Maintenance

Current jobs to be done or completed:

  • Paint interior – partially completed – Thank you to Judy Grant, Fern Harris, Denny Hare and Julie Hare for a job well done.
  • Roof repairs – remove old chimney parts – completed
  • Ceiling tile replacement – completed
  • Snow plowing costs to be investigated and discussed at the next Director’s meeting. A possible contact for plowing is Kyle Ladrew at 705-773-8557
  • The kitchen to be painted – September target
  • Repair/replace quarter round in kitchen – September target
  • Rebuild vestibule interior and possibly parts of one exterior wall – September target

GUEST: Greg Antuchiewicz

Greg Antuchiewicz gave the Board a quick overview of the Golf tournament he has each year at the Ridge. He has said that Hurdville Hall will again be the recipient of some profits from the tournament and the amount will be dependent on the number of sponsors he is able to sign up.

Treasurers Report - Sandra Little

Cheque signing authority was updated to include Denny Hare and Sandra Little as signatories along with Lynn Mitchell. Online banking is now available

There are 35 paid up members to date.

Sandra Little made a motion to accept the Treasurer’s report and was seconded by Rob Tait.

Approvals for funding:

  • Donation to Esprit Women’s Shelter in June Monette’s name. Motion for $100 donation was made by Joyce Hopkins and seconded by Rob Tait.
  • Paint purchase for hall interior. Motion was made by Julie Hare to approve purchase of approximately 5 gallons of paint. Seconded by Judy Grant. Colors chosen were white and light
    2 fern green.
  • Grant application for community use (McKellar). Suggested could be for the rebuilding of the vestibule. Sandra Little to contact McKellar Township re application availability.

Follow up from General Meeting March 13, 2022

  • Propane purchases from Parry Sound Fuels were $0.54/liter in 2020. Sandra will follow up with them when time for the next fill to match Manitouwabing Association price.
  • Plaques for memorial and donations have been ordered from Georgian Bay Software.
  • Handicapped Sign – available from Amazon. Suggested it could be put on a sandwich board and we could take it in after an event at Hall.

  • Discussed having Giant Outdoor only yard sale on June 11th .. Joyce will put ad in the Parry Sound paper.
  • Harbour has agreed to a concert on June 26th in the Hall. Joyce is looking at an outdoor concert later in the summer.
  • Discussed and decided not to have pancake breakfast on May 24 weekend. Pancake Breakfast rescheduled for July 2, 2022 which is Canada Day weekend. Will purchase sausage at Costco at the beginning of June for Pancakes. Joyce Hopkins said would contact John Hake regarding syrup purchase. Rob Tait suggested we include orange slices on the plates to brighten them up.

Maintenance Update

  • Oil stove chimney has been removed and the roof patched.
  • Electrical problem with the light bank has been resolved and repaired by Denny.
  • Kitchen roof needs a new piece of sheet metal to replace a piece broken in the winter.
  • Water Well – Denny Hare, Mark Little and Rob Tait will look into the viability of the water well at the side of the property as a possible water source for the hall.

New Business

Rental of the Hall has been requested for August 14, 2022 for a wedding breakfast. In recognition of the family’s contribution for the continual upkeep of the hall over the years there will be no charge for this usage of the hall.

McKellar - is offering groups an opportunity to collect beer cans and liquor bottles at dump. It was agreed that with the amount of work involved and the number of volunteers needed it would not be a viable project for our group at this time.

Hurdville Website – discussed the site and questioned who would be able to maintain it and update the information on a regular basis. It was agreed that none of the board members had the skills to take on the task. The current site is being paid for by John Hake and there are two names Hurdville.ca and Hurdvillehall.ca. We would like to pay the annual renewal for both domain names, for possible use in the future.

Rob Tait suggested investigating a site called Weebly which is free for website development.

Rob Tait suggested having a “Handy Man Day” at the hall with local trades coming to the hall to help fix/repair/install things needed there. This would require someone contacting the local companies and trades to see if they would be interested.

Joyce Hopkins also suggested having a BEE at the hall which could be for anything … floor washing; window washing; cupboard cleaning; etc…. It was agreed that this is a good idea.

Relabel the panel box It has been requested that the panel box be relabelled so that it is readable and Denny Hare will look into doing the job.

Grants

Joyce Hopkins advised that there is currently a grant available from Hydro One for groups as long as the job is for safety purposes … ie: suggestions from Mark Little making a ramp out the back door for washroom access or even building a new deck at the back to accommodate an outhouse from door level.


4 Coke Cooler in kitchen – it was noted that with the new refrigerator there is no longer a need for the cooler and it was suggested that an ad be placed in a local website “free to good home”. Joyce Hopkins will post an ad.
